Dairy Farm Application SOP for the QMI In-Line Sampler (Sampling for Direct Load Applications)
General Requirements:
1) Application to install in-line sampler should be filed with the processing operation installing the in-line sampler, the State Regulatory Agency, the person responsible for the operations regulatory oversight and the in-line sampler installer. See attached blank application example form.
2) If no application is available, fill out the information requested in Form A, attached
Device Requirements:
The QMI device is installed in an appropriate location in the milk line to ensure accurate sampling and proper cleaning. (Must meet approval of PMO and state milk regulatory agency).
The QMI Tri-Clamp Elbow or Weld Elbow is installed in the down or side position at a convenient place after the plate cooler. A sample refrigerator must be located such that the sample bag can be placed in it and the tubing with needle will reach the QMI sampling elbow.
Drill a hole in refrigerator large enough to allow the needle and tube to pass through.
The QMI sampler must be installed according to the instructions from QMI accompanying the package. A seven port sampling cartridge (sampler) would be removed from its sterile wrapping and placed in the open fitting. The retaining collar (nut) is then hand tightened onto the fitting and the sampler is checked for even seating in the fitting. Finally, the retaining collar (nut) is tightened one quarter to one half turn using a wrench.
Sample collection container must meet PMO and state milk regulatory agency approval. The QMI Sample Bag is shipped sterile and must be maintained in aseptic conditions.
Size of milk sample needs to be determined with cooperation of the state milk regulatory agency. An equal amount of milk must be sampled through the milk cycle. The proper needle size and bag size must be determined. If adjustments to bag size or needle size does not achieve the proper sample volume, a tube clamp must be used.
Refrigerator Requirements:
The refrigerator must be of an appropriate size to hold the QMI Sampler Bag.
Refrigerator must be able to maintain the sample between 32 and 40 degrees F (0-4.4C).
Thermometer(s) must be used to track the refrigerator temperature
Thermometer(s) of digital or liquid filled in glass type, checked annually by an NCIMS certified facility.
Thermometer(s) have a minimum scale of 1 degree C or 2 degrees F.
Refrigerator temperature recorded AM-PM, from thermometers located on top and bottom shelves, where applicable
Refrigerator temperature records maintained for 6 months.
Annual NCIMS thermometer(s) accuracy check maintained for 2 years
The refrigerator is used only to collect and store samples. No food, beverage or any other items not related to the samples or sampling procedures, are to be stored in the unit.
Refrigerator must be maintained in good working condition, repair and clean inside and out at all times.
Collecting the Milk Sample:
Person(s) performing the following steps must possess a valid milk receiver or weigher-sampler (bulk milk hauler/sampler) license as defined in the current edition of the PMO and issued by the state regulatory agency,
Person(s) performing the following steps must wash and sanitize their hands before handling the equipment used to collect the milk sample.
At the start of milking and the filling of a new empty trailer, place an unused sterile QMI Bag in the refrigerator, run the needle and tube from the QMI bag to the QMI elbow.
Swab the smooth plastic surface of the QMI Aseptic Sampler with sanitizing agent for an appropriate time (typically 15-20 seconds)
Use proper aseptic techniques to remove the needle from its sterile packaging or cover.
Line the needle up with one of the penetration channels and push the needle gently through the smooth plastic surface and all the way through the rubbery sampling material below in into the pipeline interior. Penetrate the Aseptic Sampler with a slight angle when sampling from the outer channel guides.
Carry out the sampling, making sure of proper needle size and bag size to achieve a representative sample.
After the sampling is complete, withdraw the needle and cover it to prevent accidental needle sticks. Discard the needle properly in a container for sharps.
Note: After 7 sampling locations are used, replace the QMI Sampler (cartridge) as outlined in Device Requirements, Section 4.
Taking the Representative Sample and Sample Handling:
Person(s) performing the following steps must possess a valid milk receiver or weigher-sampler (bulk milk hauler/sampler) license as defined in the current edition of the PMO and issued by the state regulatory agency.
Person(s) performing the following steps must wash and sanitize their hands before carrying out the following steps.
Remove the sample bag from the refrigerator.
Agitate the sample container sufficiently to obtain a representative sample by rapidly inverting the sample container 25 times.
After removing milk from the tubing for 1 minute, pour the sample, as aseptically as possible, into properly identified sample vials within 3 minutes of agitation.
The following information is required for sample identification:
Producer number and or tank number
Date of sampling
Temperature of sample
Time of sampling
Initials of the person sampling.
A temperature control sample must be taken with each sample.
Store the samples in the sample collection refrigerator or other approved storage location until the tanker is taken to market. The samples must accompany the load to market.
A duplicate sample can be taken for pick-up and testing by the producer's milk company or regulatory agency.
Fill out the chain of custody (COC) sheet if you put the samples into a refrigerator for storage until samples are taken to market or collected by the milk company or regulatory agency.
